Information and Procedures for Exhibitors
In an effort to provide the community with opportunities to interact with cultural arts, the Troy Public Library Cultural Arts Services provides gallery space and display cases for the display of items of interest such as, but not limited to, art, collections, crafts, and other educational mediums for exhibition purposes.
The Troy Public Library Cultural Arts Services does not discriminate against persons on basis of age, sex, marital status, race, color, creed, national origin, religion, or disability. Artists and crafts persons are selected based on the merits of their work and appropriateness in a library setting. Items are to be "content neutral" and not controversial or shocking. The Library is concerned about the appearance of the exhibit, the appropriateness of its arrangement, and subject matter. The Cultural Arts Coordinator may make suggestions regarding positioning and/or exclusion of individual work and, if necessary, re-arrange them. The Library reserves the right to determine the appropriateness of all exhibits and exclude any or all items.
How to Exhibit Your Art
If you would like to display your work at the Library, please fill out the Gallery/Showcase Reservation Form (below), and the Artist Biography or Collector Information Form (below). Return both to Maria Hunciag at the Library.
Items accepted and scheduled for exhibits are displayed for approximately one month, beginning the first day of the month. There is a fee of $25 per gallery or showcase. The Library Director may waive the fee for organizations designated as nonprofit under section 501(c) 3 of the United State Tax Code or is exempt from federal and/or state tax as an educational institution. Requests for any other fee waivers shall be directed to City Council.
The Library cannot be involved in the sale of items and no sales can take place on library property. Biographical information can be posted with the exhibit along with information regarding the exhibit's list, description, history, and relevant personal anecdotes. No pricing information is allowed. The Exhibitor's contact information may be posted, but with no reference to the sales price of the items on exhibit or that the items can be purchased. Violation of this will result in exhibitors losing their privilege to exhibit at the library in the future. Exhibitors do not need to be residents of the City of Troy.
A complete list of items, including the condition and real value for each item, must be submitted to the Library on the set up day of the exhibit on an Exhibit Loan to Library Form (below), and an Exhibit Items List Form (below), along with the appropriate fee. All reasonable care will be taken to prevent damage or loss of items exhibited. The exhibitor is responsible for protecting their own work from being damaged or defaced by providing appropriate framing. If an item is damaged by any person or event, compensation shall be limited to not more than $20.
Exhibitors are responsible for providing all necessary educational materials (printouts-handouts) and arranging all items on galleries or display cases, as applicable. The exhibitor should make arrangements for one or more persons to assist during set up. The Cultural Arts Coordinator is not responsible for setting up exhibitor display or printing educational materials.
Picking Up Your Exhibit
Before removing any items from the Library, the exhibitor must sign the Exhibit Loan to Library Form indicating that all items have been returned in the condition in which they were submitted for exhibit. If the exhibitor is unable to pick up items at the prearranged time, the Cultural Arts Coordinator will remove and store items until they are claimed. There will be a charge of $15 a day storage fee for material not pick up at the pre-arranged time. This will ensure that a previous exhibit does not inconvenience exhibitors who have scheduled set-up time.
If an exhibitor has not collected artifacts in 30 days they will be considered abandoned, and the Library may choose to dispose of them at Friends sales or City auctions. The proceeds will be used for future Cultural Arts programs.
These procedures are for the protection of both the exhibitor and Troy Public Library.
